Before You Start

1

Create your Trilo workspace

Sign up for Trilo and set up your workspace with Areas and Projects.
2

Map your Asana structure

Identify which Asana teams become Trilo Areas, and which projects map to Trilo Projects.
3

Invite your team

Add team members to Trilo before migrating content.

Exporting from Asana

Export a Project as CSV

1

Open the project in Asana

Navigate to the project you want to export.
2

Click the dropdown arrow

Next to the project name, click the dropdown.
3

Select Export/Print

Choose Export/Print from the menu.
4

Choose CSV

Select CSV as the export format.
5

Download the file

Save the CSV file to your computer.

Export Multiple Projects

Repeat the CSV export for each project you want to migrate. Asana doesn’t offer bulk workspace exports on most plans.
Asana’s export includes task name, assignee, due date, status, description, and custom fields. Attachments need to be downloaded separately.

Importing to Trilo

Recreating Projects

1

Create an Area

In Trilo, create an Area that corresponds to your Asana team (e.g., “Marketing”, “Engineering”).
2

Create a Project

Within the Area, create a Project for each Asana project you’re migrating.
3

Configure the project

Set the project prefix (for task IDs), enable AI features, and configure visibility.

Importing Tasks

For smaller projects (under 50 tasks), manual creation is often fastest:
1

Open your CSV export

Review the tasks in a spreadsheet application.
2

Create tasks in Trilo

Use keyboard shortcut T for quick task creation.
3

Set task properties

Add assignees, due dates, priorities, and descriptions.
4

Organize by status

Use Kanban view to drag tasks into the right columns.
For larger projects:
1

Use CSV as reference

Keep the CSV open alongside Trilo.
2

Focus on active tasks first

Don’t migrate completed tasks unless you need the history.
3

Batch similar tasks

Create all tasks for one status, then move to the next.
This is a good opportunity to clean up your task list. Only migrate tasks that are actually needed.

Handling Subtasks

Asana’s subtask model differs from Trilo:
Asana ApproachTrilo Approach
Nested subtasksChecklists within task descriptions
Subtasks as separate itemsRelated tasks linked in descriptions
Deep nestingFlat structure with clear naming
For simple subtasks, use Trilo’s checklist feature in task descriptions:
## Subtasks
- [ ] First subtask
- [ ] Second subtask
- [ ] Third subtask

Common Questions

Trilo uses AI coworkers instead of rule-based automations. Rather than setting up “when X happens, do Y” rules, you can ask AI coworkers to handle tasks. It’s more flexible and requires no configuration.
No, Trilo generates new IDs based on project prefixes (e.g., PROD-1, PROD-2). You can reference old Asana IDs in task descriptions if needed for historical tracking.
Trilo focuses on List, Kanban, and Table views. Timeline features are on the roadmap. For now, use due dates and the Calendar view for scheduling visibility.
Mention related tasks in descriptions or use task links. Trilo keeps things simple rather than complex dependency chains.
