# Migrate from Asana

> Step-by-step guide to migrate your Asana workspace to Trilo

Moving from Asana to Trilo gives you project management plus built-in team chat, video calls, and AI coworkers. No more switching between Asana and Slack. This guide walks you through migrating your Asana workspace.

## Why Teams Switch from Asana

| Asana Limitation                   | Trilo Solution                           |
| ---------------------------------- | ---------------------------------------- |
| No real-time chat (requires Slack) | Built-in project channels and DMs |
| No video calls (requires Zoom) | Native video calls with AI transcription |
| Time tracking costs extra | Time tracking included |
| AI features require higher tiers | AI coworkers included in all plans |
| Per-user pricing (\$11-25/user)    | Flat workspace pricing                   |

## Importing to Trilo

### Recreating Projects

<Steps>
  <Step title="Create an Area">
    In Trilo, create an Area that corresponds to your Asana team (e.g., "Marketing", "Engineering").
  </Step>

  <Step title="Create a Project">
    Within the Area, create a Project for each Asana project you're migrating.
  </Step>

  <Step title="Configure the project">
    Set the project prefix (for task IDs), enable AI features, and configure visibility.
  </Step>
</Steps>

### Importing Tasks

For smaller projects (under 50 tasks), manual creation is often fastest:

<Steps>
  <Step title="Open your CSV export">
    Review the tasks in a spreadsheet application.
  </Step>

  <Step title="Create tasks in Trilo">
    Use keyboard shortcut `T` for quick task creation.
  </Step>

  <Step title="Set task properties">
    Add assignees, due dates, priorities, and descriptions.
  </Step>

  <Step title="Organize by status">
    Use Kanban view to drag tasks into the right columns.
  </Step>
</Steps>

For larger projects:

<Steps>
  <Step title="Use CSV as reference">
    Keep the CSV open alongside Trilo.
  </Step>

  <Step title="Focus on active tasks first">
    Don't migrate completed tasks unless you need the history.
  </Step>

  <Step title="Batch similar tasks">
    Create all tasks for one status, then move to the next.
  </Step>
</Steps>

<Tip>
  This is a good opportunity to clean up your task list. Only migrate tasks that are actually needed.
</Tip>

### Handling Subtasks

Asana's subtask model differs from Trilo:

| Asana Approach             | Trilo Approach                       |
| -------------------------- | ------------------------------------ |
| Nested subtasks | Checklists within task descriptions |
| Subtasks as separate items | Related tasks linked in descriptions |
| Deep nesting | Flat structure with clear naming |

For simple subtasks, use Trilo's checklist feature in task descriptions:

```markdown theme={null}
## Subtasks
- [ ] First subtask
- [ ] Second subtask
- [ ] Third subtask
```

## Feature Mapping

| Asana Feature | Trilo Equivalent                             |
| ------------- | -------------------------------------------- |
| Projects      | Projects                                     |
| Teams         | Areas                                        |
| Tasks         | Tasks                                        |
| Sections | Statuses (Backlog, To Do, In Progress, Done) |
| Subtasks | Checklists or linked tasks |
| My Tasks | Filter by assignee |
| Goals         | Project-level objectives                     |
| Timeline      | Coming soon                                  |
| Portfolios    | Area overview                                |

## Common Questions

<AccordionGroup>
  <Accordion title="What about Asana automations?">
    Trilo uses AI coworkers instead of rule-based automations. Rather than setting up "when X happens, do Y" rules, you can ask AI coworkers to handle tasks. It's more flexible and requires no configuration.
  </Accordion>

  <Accordion title="Can I keep my Asana task IDs?">
    No, Trilo generates new IDs based on project prefixes (e.g., PROD-1, PROD-2). You can reference old Asana IDs in task descriptions if needed for historical tracking.
  </Accordion>

  <Accordion title="What about timeline/Gantt views?">
    Trilo focuses on List, Kanban, and Table views. Timeline features are on the roadmap. For now, use due dates and the Calendar view for scheduling visibility.
  </Accordion>

  <Accordion title="How do I handle dependencies?">
    Mention related tasks in descriptions or use task links. Trilo keeps things simple rather than complex dependency chains.
  </Accordion>
